Description

Office Assistants, under direct supervision (I) and general supervision (II), perform a variety of clerical duties in support of an operation, office, or program. Support activities may include public service, records maintenance, document production, and/or case management/processing.

Ideal candidates will possess good attention to detail; good communication, interpersonal, organizational, and customer service skills; the ability to respond and adapt to changing working conditions; and the ability to learn and support a department's business operations in ways consistent with its policies and procedures.

Office Assistant I -$21.00 - $28.36 per hour: is the entry level classification in this job series. Incumbents perform routine clerical and/or manual tasks with simple, clear cut instructions involving no more than a few steps and limited knowledge of operational processes and procedures.

Office Assistant II -$22.21 - $31.03 per hour: is the journey level classification in the job series. Incumbents perform a variety of clerical duties according to established criteria and prescribed procedures. Some independent judgment is required in choosing among alternative courses of action in mostly standardized operations or routine situations.

NOTE: If appointed at the lower level, incumbent may be promoted to the higher level without further exam upon meeting the minimum requirements, demonstrating satisfactory performance, and in accordance with the business needs of the department.

VETERAN’S POINTS: Office Assistant I/II is a trainee/entry level classification, and Veteran’s Points may apply to eligible applicants. Documentation of military service (DD-214) must be submitted prior to close of recruitment in order to receive points.

The eligible list established from this recruitment may be used to fill current and future Regular, Temporary, Fixed-Term, Intermittent, and Extra-Help vacancies throughout various departments/agencies within the County of Ventura.

Office Assistant I/IIs are represented by the Service Employees' International Union (SEIU) and are eligible for overtime compensation.

EDUCATION, TRAINING, AND EXPERIENCE
Office Assistant I - No experience or training is required; however, applicants must demonstrate possession of requisite knowledge, skills, and abilities listed below.

Office Assistant II - Any combination of education, training, or experience equivalent to two (2) years of office clerical experience.

SUPPLEMENTAL QUESTIONNAIRE - qualifying: All applicants are required to complete and submit the questionnaire for this examination at the time of filing. The supplemental questionnaire may be used throughout the examination process to assist in determining each applicant's qualifications and acceptability for the position. APPLICATION EVALUATION - qualifying:
All applications will be reviewed to determine whether or not the stated requirements are met. Those individuals meeting the stated requirements will be invited to continue through the screening and selection process.

WRITTEN EXAMINATION - 100%: An un-proctored, on-line, internet-based, job-related written examination will be conducted to test candidate's knowledge, skills, and abilities in relation to office practices, reading comprehension, forms completion/checking, comparison, vocabulary, spelling, math, and filing. Candidates invited to the written examination will receive written confirmation by email.

Applicants must earn a score of seventy percent (70%) or higher to qualify for placement on the eligible list. The eligible list is valid for a period of one (1) year.
