Position InformationJoin the Charles M. Schulz - Sonoma County Airport (STS) as an Extra-Help Administrative Coordinator! Starting salary up to $46.45/hour* depending upon experience.The Airport Administrative Coordinator - Extra Help provides critical administrative support for the Airport's property management and business administration functions. Working under the direction of the Airport Property Manager, this position assists with the administration of approximately 350 non-commercial hangar tenant accounts, helping maintain accurate lease records, maintaining administrative records, and providing responsive customer service to Airport tenants and the public.
This position supports a variety of administrative functions that are essential to the efficient operation of the Airport, including records management, document preparation, accounts receivable support, compliance tracking, data management, and special projects. During the next several months, the position will play an important role in supporting the Airport's transition to a new lease management software system through data verification, document organization, and records migration.
The Administrative Coordinator delivers exceptional customer service to a diverse workforce and the public, manages high-volume and detail-oriented tasks with accuracy, and adjusts effectively to continually changing requirements and processes. Additional responsibilities include:
- Preparing tenant correspondence, notices, reports, and other administrative documents
- Tracking insurance certificates, lease compliance requirements, and other recurring administrative deadlines
- Maintaining accurate electronic and paper records and supporting document management activities
- Assisting with accounts receivable support, recordkeeping, and administrative reporting
- Supporting implementation of the Airport's lease management software through data review, verification, and record migration
- Responding to tenant inquiries and providing professional, courteous customer service
- Assisting Airport management with administrative projects and other office support functions as assigned
The ideal candidate will have excellent interpersonal skills and thrive in a collaborative, fast-paced, customer service-focused environment. They will have an interest in public sector work and local government operations and will also possess many of the following:
- Experience working in an office environment providing high-volume customer service
- Strong analytical and problem-solving skills
- Experience preparing, reviewing, and editing complex and detailed internal and public documents
- Previous experience with data management
- Organizational and time management skills, with excellent attention to detail
- The ability to understand organizational priorities and effectively manage competing deadlines
- Strong written and verbal communication skills, including presentation skills
- Proficiency in the use of current Microsoft Office suite applications, specifically Outlook, Word, PowerPoint, and Excel
STS is the only local airport that offers air service directly into the North Bay region. As a commercial service airport, STS supports up to 21 flights per day, with facilities for airline passenger services, cargo, private and corporate flights, recreational aircraft, law enforcement, emergency medical service, search and rescue, firefighting aircraft, and pilot training. Extra-Help EmploymentExtra-help employees relieve or augment permanent staff. Temporary, extra-help employees are not in the classified civil service and do not have property rights to permanently allocated positions. In addition, they do not receive most employee benefits such as long-term disability insurance coverage, accrual of vacation, participation in the County retirement program, or eligibility to take promotional examinations.
Temporary, extra-help employees are limited in their employment to a maximum of one calendar year. These employees must be off of work for three months before they can be re-employed on an extra help basis. Extra-help employees who meet the eligibility requirements may qualify for a County contribution toward medical coverage.
This recruitment is being conducted to fill an Administrative Coordinator temporary, extra-help position at SPI. This employment list may also be used to fill future extra-help positions as they occur during the active status of the list. The Civil Service title for this position is Administrative Aide.
*Salary is negotiable within the established range.

Minimum QualificationsExperience: Work experience that would provide an opportunity to acquire the knowledge and abilities listed. Normally, some experience related to general administration, accounting, budgetary analysis, or human resources work including the compilation, tabulation, analysis, and presentation of statistical and narrative written reports would provide such opportunity.
Education: Any combination of course work and training that would provide an opportunity to acquire the knowledge and abilities listed. Normally, academic course work in public administration, business administration, management, accounting, political science, economics, statistics, English composition, psychology or closely related courses would provide such opportunity.
License: Possession of a valid driver's license at the appropriate level including special endorsements, as required by the State of California, may be required depending upon assignment to perform the essential job functions of the position.

Knowledge, Skills, and AbilitiesKnowledge of: administrative techniques and principles of organization, accounting, budget and human resources administration; techniques and practices of research methodology, data collection, and preliminary analysis; report writing; application and use of basic statistics; interview techniques sufficient to obtain information related to employment and administrative matters; written and oral communications, including language mechanics, syntax and English composition; modern office methods and procedures; database, spreadsheet and word processing applications including basic methods of graphic presentations.
