*Subject to change* DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS The General Services Department is seeking a Contract Administrator to perform the full range of professional and technical duties required to develop, execute, administer and manage service contracts for facilities. Ensures contract files are complete and documented to provide a verifiable audit trail. Coordinates inspections and compliance activities for properties owned, leased, or managed by the General Services Department.
This position will be responsible for the following duties:
RESPONSIBILITIES/DUTIES- Responsible for pre-contract and post planning functions and assising with procurements
- Maintains contracts and tracks contract progress
- Verifies insurance and bond documents for city contracts
- Maintains current and accurate records on facility information; maintains files and records
- Conducts inventories and ensures compliance with agreements
- Interprets contract documents and assists in the resolution of disputed issues
- Works with Finance Accounts Payable and other City departments to resolve problems regarding agreements
- Works with operational personnel to ensure compliance with agreements
- Coordinates with other City departments on issues related to processing contract documents.
- Performs SAP functions for the Division
- Performs all tasks necessary to gather and assemble the information required to develop the scope and specifications for solicitation of bids for service contracts, as well as manage the daily business of these service contracts
- Communicates effectively with stakeholders, inspectors and contract vendors, while establishing cooperative relationships
- Prepares reports and contract documents of various stages, including drafts, changes, renewals, amendments, and terminations; and presents information to small and large groups
- Coordinates compliance inspections, evaluates reports of non-compliance and initiates the appropriate response to non-compliance issues
- Acts as a liaison between tenants, inspectors and contracted service providers
- Performs other duties as assigned
- Monitors the performance of contractors for compliance with requirements.

WORKING CONDITIONS There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions. Requires the ability to make simple gross motor responses within large tolerances.
This is a GENERAL SERVICES DEPARTMENT Position at the Tier III Level.MINIMUM REQUIREMENTS EDUCATIONAL REQUIREMENTS Requires a Bachelor's degree in Public Administration, Business Administration, Government or closely related field.
EXPERIENCE REQUIRMENTS Two years of contract compliance or other related professional analytical compliance experience are required.
Professional experience related to the type of work to be performed may substitute for the education requirement on a year-for-year basis.
LICENSE REQUIREMENTS None.
PREFERENCESPREFERENCESPreference will be given to applicants with experience in the following are highly preferred:
- SAP
- Performing Contract Reviews and Data Management
- Microsoft Power tools such as Microsoft PowerBi, Microsoft PowerAps, Microsoft Forms, Microsoft Lists, etc.
- Demonstrable data analytic skills
- Expert level Microsoft Excel skills- Skills Test may be required duri
- Interpersonal skills related to customer service and fostering teamwork
- Excellent communication, problem-solving, and analytical skills.
- Ability to work across teams and manage multiple concurrent projects
