Summary

Nature of WorkUnder general supervision performs comprehensive and specialized administrative clerical and operational tasks in support of court operations including judicial support, public assistance, Americans with Disabilities Act (ADA) coordination, reports, and event participation; performs related work as assigned.Typical Duties(Illustrative only)Preparation of Court ordersAssists defendants with ADA coordination in the court roomDevelops, updates, and documents standard operating procedures and workflow processes for Superior Court.Prepare orders for set asides, restoration to rights, expungements and criminal historyManages and responds to records requestsProvides back-up coverage as a bailiffConducts legal and procedural reviews and develops workflowsCoordinates and assists with the Judicial Performance Review (JPR)Support Senior Commissioners/Judges Pro TempProvides back-up coverage for Judicial AssistantsMakes travel arrangements, processes travel claims, and reconciliation statementsConducts weekly mail operationsResponsible for supply management dutiesReviews applicable statutes, rules, codes and court orders on an ongoing basis and provides timely updates and guidance to judges and court staff.Receives, reviews and responds to records requestsMay assist with Transcript CoordinationEssential functions of this position include but not limited to: sitting, walking, standing, crouching, stooping, kneeling, reaching, bending and crawling for filing; working with and around others; dealing with interruptions; repetitive motion (hand/wrist/elbow/ shoulder) for computer work, filing, copying etc.; vision acuity (near) for computer work and reading documents; hearing and speech for ordinary conversation; finger dexterity and touch for typing.Minimum QualificationsThree years progressively responsible administrative or clerical experience; OR, any equivalent combination of education, training and experience which demonstrates the ability to perform the duties of the positionKnowledge, Skills And AbilitiesConsiderable knowledge of:Court procedures, legal terminology, and legal documentsApplicable statutes, rules, codes, and administrative ordersBusiness English, spelling, and grammarStandard office practicesPrinciples of recordkeeping and document management practicesSkill inRecognizing and maintaining the need for confidentiality in work assignmentsUse of computers and software including AJACS, JOLTS, CMS, and Microsoft OfficeAssessing, analyzing, identifying and recommending solutions to problemsEstablishing and maintaining effective working relationsReviewing and processing legal documents with accuracy and attention to detailResearching and interpreting legal and procedural informationAbility to:Effectively manage conflicting priorities and stressful situationsWork independently and make sound decisions in accordance with established guidelinesAdapt to and integrate new computer programs into daily dutiesPrepare and maintain complex reports and recordsWork safely and support the culture of workplace safetyEstablish and maintain effective working relationships with judges, attorneys, other agencies, the public, and the mediaFollows verbal and written instructionsCommunicate effectively in a professional, confidential, and courteous manner, verbally and in writingAnalyze complex problems and suggest appropriate solutionsExercise independent judgment and initiative to effectively carry out difficult assignmentsWork safely and support the culture of workplace safetyCommunicate effectively verbally and in writingEmployee BenefitsCoconino County offers a comprehensive employee benefits package to regular employees working 30 or more hours per week that includes:(Regular Part Time employees receive some benefits on a pro-rated basis.
