$5,079.00-6,315.00/monthly ($60,948-$75,780/annually)

Position Summary

Under the general direction of the Director of Housing Facilities (or designee), the Project Coordinator serves as a key professional responsible for planning, coordinating, and supporting housing-related capital improvement projects and Fire Life Safety (FLS) programs. The incumbent independently manages multiple projects of moderate to high scope and complexity, ensuring alignment with university standards, regulatory compliance, and operational priorities.

This position acts as a liaison between Housing, Capital Planning Design & Construction (CPDC), Facilities Services, Environmental Health & Safety (EHS), contractors, and campus stakeholders. The role requires advanced project coordination, analytical, and communication skills to support project delivery, fire and life safety system compliance, and continuous improvement of housing operations. The incumbent exercises advanced judgment in coordinating complex projects, resolving issues, and ensuring compliance with regulatory and operational requirements, while ensuring projects meet scope, budget, and schedule expectations.

Position Information

Capital Planning, Design & Construction (CPDC) Project Coordination

• Coordinate housing capital projects from planning through execution, including renovations, deferred maintenance, and infrastructure improvements.
• Serve as primary liaison between Housing, CPDC, Facilities Services, and contractors to ensure project alignment with operational needs and timelines.
• Assist in project scoping, budgeting, scheduling, and documentation; track milestones and deliverables.
• Review project plans, drawings, and specifications to ensure compliance with housing operational standards.
• Coordinate project logistics including site access, resident communication, and stakeholder engagement.
• Monitor project progress and provide regular status reports; identify risks and recommend solutions.
• Support procurement processes, contractor coordination, and project closeout documentation.
• Utilize project management systems and CMMS tools to track work orders, projects, and performance metrics.

Fire Life Safety (FLS) Program Coordination

• Coordinate fire and life safety programs within housing facilities, including fire alarm systems, suppression systems, inspections, and compliance activities.
• Assist in planning and managing preventative maintenance programs for fire and life safety systems.
• Track regulatory compliance with federal, state, CSU, and local fire and safety codes; coordinate inspections and corrective actions.
• Support budgeting, cost estimation, and prioritization of FLS projects and maintenance activities.
• Coordinate work performed by contractors and internal staff, ensuring adherence to safety standards and project requirements.
• Maintain documentation, records, and reporting related to life safety systems and compliance requirements.
• Partner with the Director of Business Operations and campus stakeholders, including EHS and Risk Management, to support emergency preparedness and response planning.
• Communicate system outages, impacts, and project updates to stakeholders and residents.

Program Support and Analysis

• Analyze operational data, generate reports, and recommend process improvements for housing facilities and safety programs.
• Contribute to development and implementation of policies, procedures, and best practices related to housing operations. Evaluates and recommends improvements to policies, procedures, and operational practices to enhance efficiency, compliance, and service delivery. • Provide lead work direction to student assistants or support staff as assigned.
• Participate in cross-functional teams, committees, and special projects.

Minimum Qualifications

Knowledge and Skill:

• Working skills and knowledge of housing operations including housing operations systems, policies, procedures, laws and regulations, and best practices.
• Working knowledge of student organizations, collegiate policies, and communications.
• Strong organizational skills to plan, organize, and prioritize multiple projects and large operations.
• Strong analytical skills to assess operational efficiency and support budget management.
• Ability to provide lead work direction and training to students and housing support staff.
• Strong communication and interpersonal skills to work effectively in a diverse environment and effectively gain buy-in from students and parents.
• Proficiency in using housing operations software and/or related equipment.

Experience and Education:

Equivalent to a bachelor's degree in a related field and two years of relevant experience. Additional experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis. An advanced degree in a related field may be substituted for the required education on a year-for-year basis.

Preferred Qualifications:

• Experience coordinating capital projects, construction, or facilities-related programs.
• Knowledge of Capital Planning, Design & Construction (CPDC) processes and project delivery methods.
• Experience with fire alarm systems, fire suppression systems, and/or fire life safety compliance programs.
• Knowledge of applicable building codes, fire/life safety regulations, and compliance requirements.
• Experience working in higher education, student housing, or institutional facilities environments.
• Ability to read and interpret construction drawings, specifications, and technical documents.
• Experience working with computerized maintenance management systems (CMMS) or project tracking tools.
• Experience coordinating contractors, vendors, and service providers.
• Coursework or certification in project management, facilities management, or related fields.
• Experience supporting emergency preparedness, safety programs, or risk management initiatives .

Required License/Certification

Must have a valid California Driver’s license (or ability to obtain within 30 days or hire).

Environmental/Physical/Special

• This position is fully in-person and on-site, requiring a regular physical presence on campus to support housing facilities, project coordination, and fire life safety operations.
• Work is performed in both office and field environments, including construction sites, mechanical spaces, and residential facilities.
• May be required to walk long distances, climb stairs, and access confined or restricted areas as part of project and facilities coordination.
• Must be able to respond to urgent or emergency situations, including after-hours support as needed.
• Participates in an on-call rotation and is expected to respond to emergencies and urgent operational needs outside of regular business hours.
• Work schedule may vary, including occasional evenings, weekends, and holidays to support project deadlines and operational needs.
• May be required to wear appropriate personal protective equipment (PPE) when working in active construction or maintenance environments.
