Job SummaryUnder general supervision of the Senior Director of Global Programs and Services, the Study Abroad and Away Coordinator supports all aspects of San José State University Study Abroad and Away programming through student advising, outreach, recruitment, marketing, and program coordination. The Coordinator oversees the daily administration of outbound programs, guides students throughout the study abroad and away lifecycle, and collaborates with campus and external partners to deliver high-quality, accessible opportunities for SJSU’s diverse student population. The position uses program and participation data to recommend improvements, expand access, and advance programmatic goals.
Key Responsibilities
- Provide comprehensive advising on study abroad and away opportunities, eligibility, applications, academic planning, finances, travel, health and safety, and university requirements.
- Coordinate student participation from initial inquiry through application, pre-departure preparation, participation, return, and re-entry.
- Develop and implement outreach, recruitment, marketing, and peer-to-peer engagement strategies that expand student awareness and participation, particularly among historically underrepresented students.
- Plan and deliver orientations, workshops, information sessions, classroom presentations, and pre-departure and re-entry programming.
- Manage assigned study abroad and away programs, including faculty-led, exchange, summer school abroad, affiliated-provider, internship, and other program offerings.
- Coordinate program logistics, enrollment, documentation, records, travel and insurance requirements, financial processes, vendor payments, and budget tracking.
- Collaborate with faculty, academic departments, campus offices, international institutions, affiliated providers, and external organizations to support effective program delivery.
- Support faculty through program proposal processes, training, and coordination of faculty-led programs.
- Collect, analyze, and report participation, demographic, inquiry, application, and outcome data; recommend improvements to recruitment, advising, student services, and program operations.
- Contribute to risk management and incident-response activities, including on-call coverage during designated travel periods, student support during emergencies, and maintenance of safety and emergency records.
Knowledge, Skills & Abilities
- Knowledge of international education, study abroad and away programs, student mobility, and related policies and best practices.
- Ability to provide individualized and group advising on complex academic, administrative, financial, and personal issues affecting student participation.
- Knowledge of U.S. and international higher education systems, academic credit and course evaluation, and relevant laws and regulations, including FERPA, Title IX, and the Clery Act.
- Ability to interpret and apply university, CSU, and program requirements to individual student circumstances and make sound professional judgments.
- Strong outreach, recruitment, marketing, presentation, and cross-cultural communication skills for diverse student and stakeholder audiences.
- Knowledge of barriers facing underserved and underrepresented students in education abroad and strategies to increase equitable participation.
- Strong organizational, project-coordination, budget-management, and problem-solving skills with the ability to manage multiple priorities and deadlines.
- Ability to collect, analyze, interpret, and present program and student-participation data and make data-informed recommendations.
- Proficiency with student information systems, study abroad management platforms, databases, CRM software, web-based applications, and standard office technology.
- Knowledge of international education risk-management practices, ability to maintain confidentiality, and flexibility to work evenings, weekends, on-call rotations, and travel as needed.
Required Qualifications
- Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related
- Three years of progressively responsible professional student services work experience.
Preferred Qualifications
- Master’s degree or higher in international Education, Higher Education Administration or International Relations, Global Studies preferred
- At least 2 years of experience in student service advising in a university setting, and more specifically, advising students on global learning options
- At least 2 years of experience in international education, specifically in a study abroad office
- Experience with marketing, contracts, partnerships, and budgets
- Multi-tasker and detail-oriented skills with the demonstrated ability to collaborate frequently with internal and external stakeholders
- Excellent written communication skills
- Experience working or studying abroad
Compensation
Classification: Student Services Professional III
Anticipated Hiring Range: $5,540/month - $6,653/month
CSU Salary Range: $5,540/month - $7,893/month
