Job Description The Communications Coordinator is responsible for coordinating the communications, reporting, and outreach activities of multiple projects, including those related to the Homeland Security National Training Program Cooperative Agreement and other external projects. Coordinates and publishes internal communications and outreach procedures and standards and reviews and edits all written and digital reporting and outreach materials, including catalogs, fliers, websites, presentations, and articles. Supports the submission of progress reports and proposals to DHS/FEMA, coordinating the input from multiple divisions. Serves as the point of contact for communications and outreach and supports the quality assurance and accessibility processes for DHS/FEMA curriculum development projects.
This position reports to the Director of Training Support.
Required Qualifications:- Bachelor’s degree from an accredited college or university, or equivalent combination of education and experience.
- Three years of communications and/or related experience.
Required Licenses/Certifications: - Must have a valid motor vehicle operator’s license or ability to obtain within 30 days of employment.
Preferred Qualifications: - Three years of experience in general project and/or training coordination.
- Experience with grant/contract support.
Physical Requirements: Knowledge, Skills, and Abilities: - Proficient in Microsoft Office programs including Word, Excel, and PowerPoint.
- Competent in proofreading and editing written communications.
- Knowledge of editing guidelines and standards.
- Strong written and verbal communication skills.
- Ability to present information clearly and concisely.
- Strong interpersonal and organizational skills.
- Ability to multitask and work cooperatively with others.
- Ability to work with sensitive information and maintain confidentiality.

- This position may require work beyond normal office hours and/or work on weekends.
- This position requires compliance with state and federal laws/codes and Texas A&M University System/TEEX regulations and procedures.
- All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and Agency safety requirements.
- As part of TEEX’s mission of providing training, developing practical solutions, and saving lives; this position could be required, if called upon, to deploy within the State of Texas as directed by this position’s Division Director/HQ Department Head.
- Ability to travel independently to other and/or remote locations by driving a personal or TEEX vehicle and/or flying on commercial airlines.
- This position is funded from grant and/or contract funding, which is renewed through provisions of the grantor of the contract. Therefore, this position is contingent upon continuation of funding from these grants and/or contracts, as well as satisfactory job performance.
Essential Duties, Tasks, and Percentages: HSNTP Reporting & Outreach Materials - 70%- Edits and formats HSNTP reporting and outreach materials.
- Promotes effective risk management, operational efficiency, and compliance with the Homeland Security National Training Program (HSNTP) Cooperative Agreement.
- Coordinates and implements NERRTC’s strategic communications and outreach plan.
- Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies and standards.
- Writes, edits, and designs content for annual reports, proposals, progress reports, and presentations.
- Proofs, edits, and updates information on internal and external outreach materials, including brochures, flyers, news releases, and departmental, partner and sponsor websites.
- Prepares presentations and displays for HSNTP activities.
- Monitors DHS/FEMA HSNTP course information on published materials to ensure compliance with established quality assurance standards, federal accessibility requirements, use of required templates, and appropriate use of logos.
- Supports the focused reviews of curriculum materials received and recommends revisions or changes in format and content to ensure standardization.
- Remediates electronic documents (PDFs and PowerPoint files) to make them accessible for screen readers in compliance with 508 accessibility standards.
- Monitors key social media activities and participates proactively in dialog benefiting the assigned Texas A&M University System (TAMUS) member.
Federal Reporting of Performance Activities - 20%- Assists in compiling NERRTC information and data in support of short-term information requests from both internal and external sources.
- Serves as the backup in the preparation and upload of participant, delivery, evaluation, and schedule data to the DHS/FEMA Registration and Evaluation System (RES).
- Serves as backup to ensure the timely collection and reporting of NERRTC delivery, participant and evaluation data to the FEMA Registration and Evaluation System (RES) by processing, uploading and tracking data for accuracy.
- Serves as backup in preparing Inception to Date course delivery and participant metrics for reporting to the NDPC on a quarterly basis.
- Serves as backup for providing data and assists with the review of the NERRTC Semi Annual Progress Report (SAPR) for updating and compliance.
Additional Program/Division responsibilities - 10% - Completes work in accordance with project timelines and constraints.
- Provides status reports on projects and work assignments to supervisor as directed.
- Performs all assignments with a positive and professional team approach, providing excellent customer service to both internal and external customers.
- Maintains and safeguards assigned divisional equipment and property.
- Performs additional work duties as assigned.
