Anticipated Hiring Amount: $100,000 - $105,000 annually (Commensurate with experience)
Work Hours: Monday - Friday 8:00 am-5:00 pm, unless otherwise notified

THE DEPARTMENT: The Division of University Advancement is one of five central divisions of the university whose primary purpose is to enhance the private support and knowledge of the university. This is accomplished by initiating programs, events and activities that stimulate the involvement and interest of alumni, friends, parents, corporations and foundations to develop relationships that will foster and stimulate giving to the university. The office the Vice President of University Advancement oversees the offices of development, alumni and external relations, advancement services and annual giving. The division manages and operates the Cal Poly Pomona Philanthropic Foundations which serves as the official entity to receive and manage all contributions to the University.
DUTIES AND RESPONSIBILITIES: Special Projects/Strategic Initiatives Responsible for management, execution and coordination of special projects for the Vice President's Office.
- Create detailed project plans and manage day-to-day project activities and progress.
- Communicate updates either verbally or in writing to all necessary stakeholders.
- Manages work related to campus strategic plans including committee work for the University Strategic Plan; the University Advancement Division Strategic Plan; the CSFPF Board Strategic Plan; and providing support for the action plans for each board committee. Serves as the division assessment liaison for the campus wide annual assessment endeavor.
- Responsible to prepare annual reports for distribution to the campus. Responsible for management, execution and coordination of data analysis presentations for the Vice President.
- Conduct relevant research to finalize high-level presentations and reports about institutional and strategic issues.
Communications
- Develop standard reporting procedures for the Vice President's Office.
- Manage communications for the division of UA on behalf of the VP.
- Write and edit Presidential Briefings.
- Develop distribution protocol and write division-wide communications as directed by Vice President of University Advancement.
- Write remarks, presentations and employees communications for the Vice President of University Advancement.
CSFPF Board Relations
- Works with the VP/CEO and AVP/COO on all aspects of board relations for Cal Poly Pomona Philanthropic Foundation Board of Governors.
- Responsible for development of board related materials, presentations and data visualizations including improvements and updates for the CSFPF board dashboard. Conduct necessary research and stay current with best practices for board surveys and board communications. Act in capacity of CPPPF Board Secretary.
Staff Supervision and Development
- Recruit, supervise and evaluate VPUA Administrative Assistant and student assistant(s).
- Detail project assignments, assess strengths and weaknesses, assign and track project progress and verify final reports are error-free.
- Provide guidance and support with the various projects, identifying appropriate deadlines to ensure project completion and additional resources stay on task.
- Provide professional development opportunities when appropriate.
- Other duties as assigned
QUALIFICATIONS: - Bachelor's degree or professional training program specific to the position and directly related work experience, or a combination of education and experience which demonstrates the ability to perform the essential functions of the position.
- Driver License, Valid and in State
- 3 years of progressive experience in administrative support and project management.
- Ability to work effectively with other advancement and university staff devising, analyzing, modifying, implementing and evaluating campus programs
- Ability to work with teams of faculty, staff, students and volunteers
- Ability to navigate strategic planning process for multiple audiences
- Ability to work collaboratively with internal and external constituents
- Proficiency in the use of general office equipment, and Windows-based personal computers, proficiency in using administrative computing systems, MS office applications and other relevant software applications
- Proficiency in database systems such as Advance and Raisers Edge
PREFERRED EXPERIENCE: - Proficient in project management and strategy planning software such as Cascade, ClearPoint Strategy and Envisio.
- Familiarity with survey, assessment and training tools such as Gallup and Clifton Strengths finder
