Position Summary

Under the lead work direction of the SASEEP Business Analyst and under general direction of the Assistant VP, Educational Equity Programs & Student Success (AVP), the SASEEP Administrative Coordinator is responsible for supporting the administrative, budgetary, and technical objectives of an area that encompasses university-wide student academic success and educational equity efforts. All 30+ programs in SASEEP are designed to increase student retention, persistence, and graduation, while working to close the achievement gap of diverse student populations, and to promote a campus learning environment that encourages and supports all students in persisting toward their educational goals.

In support of these efforts, the SASEEP Administrative Coordinator is responsible for providing support for day-to-day operations and planning student support activities for various SASEEP programs including but not limited to the APIDA Center, Project Hmong, First Generation Institute, PAVE, FSMP, Parents & Families Program, Women’s Resource Center, MLK Center, IYT U, Strategic Student Support Programs, Serna Center, Dreamer Resource Center, Multi-Cultural Center, and PRIDE Center. This position also coordinates student employee hiring and timekeeping. The incumbent must have strong knowledge of department and university policies and procedures, and is responsible for the implementation and execution of these policies and procedures independently.

FLSA: Non-Exempt (eligible for overtime)

Anticipated Hiring Range: Anticipated hiring range is $4,058 per month

Work Hours: Monday - Friday 8:00 a.m. - 5:00 p.m. Evening and weekend hours dependent on department needs.

Minimum Qualifications

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Required Qualifications

EXPERIENCE:
Experience and proficiency using standard office software (Microsoft Word, Excel, Access, PowerPoint, Outlook, etc.) to prepare reports and effectively communicate with colleagues and business partners.
KNOWLEDGE, SKILLS & ABILITIES:
Working knowledge of budget policies and procedures, operational and fiscal analysis techniques, planning, and management. Working knowledge of personnel policies and procedures, operational analysis and techniques for personnel planning and management. Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and affecting the applicable program, organizational unit, and/or administrative specialty. Ability to use MS Excel to perform budget planning and projections, and to reconcile expenses and identify and address discrepancies. Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques. Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved. Ability to research, develop, and evaluate of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations. Ability to organize and plan work and projects including handling multiple priorities. Ability to make independent decisions and exercise sound judgment. Ability to compile, write, and present reports related to program or administrative specialty. Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit. Preferred Qualifications

A Bachelor’s Degree from an accredited university. Experience with personnel administration in a bargaining-unit environment. One or more years of experience working with personnel and/or financial administration in a large, complex organization. Two or more years of administrative work experience, professional training. Experience using PeopleSoft (i.e., Common Management Systems Human Resources and CFS modules) Experience supporting multiple academic or administrative departments or serving as a liaison for the organizational unit. Thorough knowledge of policies, procedures, and regulations pertaining to personnel and budget processing in higher education.
