Job Description:OverviewTo perform clerical/administrative and technical functions within Inventory to ensure proper ordering, receiving and inventorying of supplies and equipment for the City's departments.
Essential Functions- Receives, checks, and verifies all in-bound materials including both packages and freight.
- Initiates and resolves Over, Short, Damage, & Discrepant (OSD&D) issues with vendors and payables.
- Handles materials within the warehouse and facility areas using equipment such as forklifts and pallet jacks.
- Stores and issues materials to various departments.
- Counts and verifies cycle and physical inventory counts.
- Prepares and ships out-bound materials including packages and freight.
- Completes data entry related to receiving, inter-warehouse movement/transfer, issuance, bin/material labeling, inventory control, purchasing, payables and shipping.
- Initiates, completes and files required documentation related to the warehouse including receiving, Over, Short, Damage, & Discrepant (OSD&D) and purchasing.
- Complies with warehouse policies and procedures to ensure efficient and consistent warehouse operations.
- Prioritizes workload to ensure deadlines are met.
- Maintains a clean and organized work area at all times.
- Assists with material quotes and vendor set up.
- Contacts vendors to expedite material as needed.
- Preforms purchase order (PO) follow-up by contacting vendors for delivery status of open orders.
- Monitors and controls warehouse equipment and supplies.
- Complies with safety programs to ensure protection of employees and property.

Minimum Qualifications- High School or GED,
- Three (3) years of experience in governmental accounting and/or purchasing is required,
- Or the equivalent in education, training, and experience, which would provide the necessary knowledge, skills and abilities,
- Possession of and ability to maintain a valid State of Florida Driver's License is required.
Job Based Competencies- Knowledge and understanding of governmental purchasing/techniques and principles.
- Knowledge of the laws relating to public purchasing and governmental purchasing.
- Knowledge and experience in the operation of a forklift and possible other warehouse equipment.
- Knowledge of standard office procedures, practices, and equipment.
- Ability to analyze and resolve clerical problems.
- Ability to establish and maintain effective working relationship with others.
- Ability to maintain effective written and verbal communication with the general public and other City personnel.
- Ability to work with computerized purchasing and accounting programs.
ResponsibilityUnder the direction of and responsible to the Department Head or designated representative. Generally reports directly to Supervisor, Material Stores. Usually none.May supervise personnel as assigned by supervisor.
Physical RequirementsThis position requires the exertion of 50 pounds of force occasionally and up to 20 pounds of force frequently. Work requires considerable physical activity including walking, lifting, reaching, stooping, pulling, grasping, balancing, climbing, kneeling, standing and crouching.Requires possible loading and unloading of supplies and equipment and delivery of same to various locations throughout the City.Incumbent is subject to inside and outside activities with a variety of weather changes or atmospheric conditions.Incumbent may be exposed to activities such as noise and jobs with potential hazards that may require special protection and/or special safety precautions.Visual acuity is required to inspect work completed by crews for accuracy and quality.Incumbent is required to hear sufficiently to perceive information at normal spoken word levels.Manual dexterity is required to operate equipment in performance of duties.
Public ContactConsiderable public contact is required with the general public, vendors, City officials, and other employees.
