An Administrative Assistant job is available with the City of Fort Worth Development Services Department/Business Support Team. Development Services seeks to make Fort Worth the most livable city in Texas by promoting orderly growth and development, safe construction, and neighborhood vitality.
The Administrative Assistant job responsibilities include: - Providing administrative support, primarily to the Administrative Services Coordinator, comprising a wide variety of clerical and computer duties and interaction with City employees both within and external to the department.
- Coordinatinghiring requests, initiating, supporting and tracking new hire process as well as onboarding, and guiding managerial staff in proper procedures and forms.
- Acting as primary timekeeper for Department of over 200 employees.
- Developing process guides and Standard Operating Procedures for all of the position’s responsibilities.
- Responding to requests for information from supervisory staff and employees regarding Personnel Rules and Regulations and proper procedures.
- Conducting research and reporting on a wide variety of topics.
- Ensuring that equity analyses are provided to hiring managers prior to posting positions.
- Coordinating with City of Fort Worth Human Resources on time and attendance.
- Adding new employees to email upon hire.
- Updating Organization chart in Visio/PowerPoint monthly.
- Other duties and special projects as assigned.
Minimum Qualifications: - Associate’s degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field
- Four (4) years of clerical and administrative experience
Preferred Qualifications: - A minimum of 1 (one) year PeopleSoft HCM / Payroll / Timekeeping experience.
- Municipal experience.
- Experience as a Medical Records Custodian (MRC).
- Experience in recruiting/staffing and new hire onboarding processes.
- Proficiency in Microsoft Office software (Word, Excel, Outlook).
- Certification such as aPHR/PHR or SHRM-CP.
Working Conditions The position is performed in typical office conditions - not routinely exposed to outdoor weather, extreme heat/cold, dust etc.
Physical Demands Sedentary Work - May exert a negligible amount of force frequently, and lift, carry, push, pull or otherwise move objects, documents etc. Involves sitting much of the time and touching, talking, hearing, seeing, grasping, standing, walking and repetitive motions.
