An Administrative Assistant job is available with the City of Fort Worth Transportation & Public Works Business Support Division. This position will provide business support functions to Streets & Stormwater Operations. The candidate must be able to demonstrate strong interpersonal and administrative skills, outstanding customer service in a fast-paced work environment with a strong focus on results, and the ability to adapt to change.
Minimum Qualifications: - Associate’s degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field
- Four (4) years of clerical and administrative experience
Preferred Qualifications: - PeopleSoft HCM (Human Capital Management) or similar timekeeping software
- PeopleSoft Financials or similar software
- Microsoft Office (Word, Excel, Outlook and Visio)
- Payroll/Timekeeping Review
- Accounts payable
- Perceptive
- Customer Service
- Sedgwick or similar system for filing Worker’s Comp Claims
The Administrative Assistant job responsibilities include: - Serve as the Human Resources Coordinator (HRC), Timekeeper and Medical Records Coordinator (MRC), and voucher or receiver role in the procurement process.
- Handle all medical records for divisional staff including but not limited to workers compensation, accident reports, and documentation for FMLA/ADA.
- Payroll/timekeeping functions, which includes processing time, resolving payroll errors and answering related questions.
- Assist with the recruitment process including but not limited to posting job announcements, scheduling interviews, providing interview question, prepare salary memos, and submission of documents to HR.
- Advise and support field operations staff on human resource matters.
- Communicate all information related to benefits and required trainings to divisional staff.
- Create and submit Personnel Action Request forms needed to maintain personnel records in PeopleSoft HCM (Human Capital Management) system.
- Utilize PeopleSoft HCM (Human Capital Management) to obtain Personnel Master List, run queries, and view employee records
- Maintain divisional organizational chart and matrix of vacancies for periodic review by management.
- Process invoices for payment, adhering to the City of Fort Worth Administrative Regulations-Procurement of Goods and Services
- Coordinate travel for employees within the TPW/Streets and Stormwater Operations division. Ensure travel authorization forms, advances, travel expense forms and reimbursements are processed in a timely manner.

Physical Demands
Sedentary Work-Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
