The Missoula County Fairgrounds is seeking a
FAIRGROUNDS COMMUNITY OUTREACH & COPYWRITING SPECIALIST to join their team. This position serves as Fairgrounds’ community outreach coordinator overseeing educational and programming use of the Missoula Fairgrounds facilities. Develops, manages, and evaluates copywriting and reporting analytics to drive strategic marketing and media efforts for the Fairgrounds.

Representative Examples of WorkServes as community outreach coordinator working closely with volunteers, superintendents, officials and partner organizations including Missoula County Extension and Weed District, 4-H and FFA, Glacier Ice, Missoula Butterfly House & Insectarium, Conservation District and Missoula County Elections as well as other partners to develop, market and implement agricultural and educational programming in adherence to the Fairgrounds’ mission. Oversees the use of Missoula County Fairgrounds facilities for the purpose of education and competition; assists with scheduling campus-wide calendar; coordinates programming activities with Fairgrounds Events & Recreation Specialist; reviews applications, prepares and administers contracts and agreements, assists with event logistics; and prepares pre- and post-inspections; coordinates on-call services. Identifies and meets with prospective supporters for educational program development. Negotiates cash and/or in-kind donations/sponsorships; research outside funding mechanisms such as grants; analyzes program’s feasibility; recommends and implements organizational and/or procedural changes to improve efficiency and cost effectiveness; provides analysis to inform decision making processes for short- and long-term strategic planning. Develops compelling and persuasive written content for marketing materials, social media, websites, and promotional campaigns to enhance engagement, event attendance, and recruitment. Applies strategic messaging and brand voice to ensure consistency and effectiveness across all communications. Uses persuasive writing techniques to create results-driven content tailored to target audiences. Presents drafts for review and approval, incorporating feedback to align with overall marketing goals. Tracks, analyzes, and reports key performance metrics related to content effectiveness, making data-driven recommendations for improvement. Contributes to the development and execution of broader marketing initiatives through strategic thinking at a conceptual level. Stays current with industry trends, social media best practices, and digital marketing strategies to optimize content performance. Assists with securing sponsorships and donors, assisting with agreements, invoicing, collecting payment and tracking accounts receivable ensuring progress towards revenue goals; assists with budget preparation calculating anticipated revenue; deposits receivables. Assists with planning and execution of the Western Montana Fair overseeing premium list and rules; overseeing data entry systems; securing exhibit materials, exhibit displays, premiums and prizes; coordinating superintendents, judges, volunteers, and service groups. Coordinates with County and contractor stakeholders to prepare and implement requests for proposals, ensure proposals meet program objectives and analyze project’s financial feasibility; prepares and modifies contracts and amendments for Board of County Commissioners approval. Provides administrative support for the Events & Operations Manager and the Fair Office; coordinates purchasing, researches and implements entry software and updates.
Minimum Qualifications- Requires Bachelor’s degree. Degrees best suited for this position may include public administration, English, creative writing, advertising, communications, public relations or marketing.
- Requires two years’ experience. Experience with customer relations management (CRM) software, fundraising or event planning preferred. Experience with fair entry software, agriculture, 4-H or FFA programs preferred.
- An equivalent combination of education and experience may be considered.
Physical/Environmental DemandsMost work is performed in an office setting. Seasonally (summer months, before, during and after the Fair, held in August) involves long hours outside of the normal business week. Requires attendance at meetings outside the workplace, sometimes outside normal business hours. Some physical activity may be performed out of doors on the Missoula County Fairgrounds property. Requires frequent walking on rough and uneven terrain, climbing stairs; exposure to rural “out building” environment; and some exposure to inclement weather. Requires occasional medium lifting, (boxes, 25-35 pounds).

The medical health benefits premium is covered for full-time employees. The County contribution is pro-rated on hours paid for part-time employees. Sick Leave- Full-time employees accrue 7.38hours per month and are eligible to use sick leave once you have been an employee for 90 days.The accrual is pro-rated for part-time employees.
Vacation Leave- Full-time employees accrue 9.24 hours per month and are eligible to use leave after continuous employment for a period of 6 full months. The accrual is pro-rated for part-time employees.
Holidays- The County observes eleven legal holidays in even numbered years and ten legal holidays in odd numbered years.
Paid Parental Leave (PPL)-In recognition of the importance of bonding and care of a newborn child or a child placed for adoption, Missoula County 6 continuous weeks of PPL to eligible full-time employees that have been with the county for 180 days. The hours are pro-rated for part-time employees.
