This is an entry-level administrative support position that works under direct supervision performing simple clerical and support functions, to include: basic filing, data entry, mail sorting and distribution, and front office maintenance.
Responsibilities: - Answer the switchboard and direct all calls to the appropriate staff. If need be, research and find out who would best be able to resolve their issues
- Ensure all visitors entering the office sign in and follow proper procedures
- Keep front areas, lobby, entrance, and switchboard desk clean and sanitized
- Assist public with copying, scanning, faxing SDS hour sheets
- Affix postage to outgoing mail
- Maintain clerical folders and keep brochures stocked
- Review and update needed files both (physical and digital)
- Updating Public Administrators list, including contact information and address
- Compose UR Letters, following-up with staff for correct information
- Email letters/documents to TCM's
- Process any med aide that comes in, to include updating med aide database, adding and creating new certificates and updating existing information.
- Send out information and certificate to licensed Med Aide Nurses through DMH Facilities and following up when additional information is needed
- Provide facilities and licensed workers with verification letters regarding current standing of L1MA
- Coordinate and work with internal RN staff for up to date policies, challenge requests, and additional Med Aide information
- Make copies and keep up-to-date test, scoresheets, discard damaged test and replace if needed, and other med aide files
- Add new RNs to med aide and entering them into the system while maintaining accurate facility information and files for all RNs requesting testing information
- Provide support and assist staff with all special projects and tasks when needed
Knowledge, skills & abilities Knowledge of general office practices. Ability to maintain clerical records, operate basic office equipment, and interact on the telephone or in person with the public. Applicants must be well-organized, able to successfully manage work priorities, and must possess proficient writing and professional communication skills.
