An Administrative Assistant job is available with The City of Fort Worth Human Resources Department - Administrative Business Support and serves a diverse workforce of over 7,000 employees. As an Administrative Assistant in Human Resources, you will play a crucial role in supporting the divisions in various administrative tasks. You will be responsible for providing efficient and effective administrative support to facilitate the smooth operation of HR programs and initiatives. In this high-impact role, you'll serve as part of the central support hub for various functions. You'll collaborate with teams across the department and support the employees who keep Fort Worth running every day.

Minimum Qualifications: - Associate's degree from an accredited college with major course work in Business Management, Public Administration, Business Administration, or related field.
- Four (4) years of clerical and administrative experience.
Preferred Qualifications: - Knowledge of human resources principles and practices.
- Knowledge of PeopleSoft HCM and PeopleSoft Financials.
- Must be organized, ability to plan and prioritize to meet deadline dates
- Organizational, multi-tasking and independent decision-making skills
- Procurement process knowledge
- Advanced knowledge in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
The Administrative Assistant job responsibilities include: - Coordinate and organize New Employee Orientation.
- Respond to information requests from employees, management, outside agencies, and the public.
- Maintain confidential personnel records and ensure accuracy of data in HR systems.
- Manage communication through centralized email, phone calls, and SharePoint.
- Provide administrative support including the upkeep of department procedures and job aids.
- Greet visitors, determine needs, and direct or assist as appropriate.
- Coordinate calendars, schedule meetings, arrange logistics, and prepare meeting materials for the department.
- Record and distribute meeting minutes.
- Create and maintain electronic and paper filing systems.
- Sort and process incoming and outgoing mail and shipments.
- Prepare, process, and track invoices, expense reports, and budget documentation.
- Input and update data in spreadsheets and databases.
- Arrange staff travel and manage reimbursements.
- Provide backup support to staff and assist with special projects.
- Perform other administrative duties as required.
