The Property Management Department consists of four divisions including Facilities Management, Fleet Services, Real Property and General Services. The Department is seeking to hire a qualified professional to fill an Administrative Assistant position within the General Services Division. This position will report to the Senior Management Analyst of the General Services Division. Property Management is a large, fast paced, and rewarding department that is responsible for a wide array of services including: maintenance of the majority of City facilities, maintaining the City's fleet, land and property acquisitions including right-of-way and easement acquisitions. The Department is seeking someone to perform a wide variety of routine fiscal, administrative and technical tasks, as well as coordinate administrative support for the Fleet Division. The Fleet Division keeps the City equipment and vehicles in a mechanically sound state and safe for all employees and residents.
Minimum Qualifications: - Associate's Degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field
- Four (4) years of clerical and administrative experience.
Preferred Qualifications: - Strong customer service skills including effective written and verbal communication and documentation skills.
- Experience with PeopleSoft Financial or other financial system, and experience with Fleet Management systems.
- Experience with Microsoft Office: Outlook, Word, PowerPoint, and Excel.
- Experience with billing processes and vendor management.
The Administrative Assistant job responsibilities include: - Assist with supervising staff, which includes prioritizing and assigning work; conducting performance evaluations; ensuring staff is trained and a succession plan is in place, and ensuring employees follow policies and procedures.
- Provide administrative support through a wide variety of clerical duties such as heavy telephone interaction with vendors and other staff, processing paperwork and entering data into various City programs and databases.
- Coordinate invoice processing tasks including invoice tracking, reconciliation and timely payment per the City's Rules and Regulations.
- Monitor contractual terms and conditions to ensure timely completion and accurate payment schedules.
- Monitor, review, and provide continual follow up on all payment and past due invoice needs.
- Perform various fiscal activities including submitting requisitions for supplies and materials, and initiating purchase orders.
- Serve as liaison between division/department and vendors and respond to requests for information from supervisory staff, employees, or vendors.
- Participate in special projects including research and creation of existing and new processes and procedures.
- Perform wide variety of administrative support duties related to organizational need.
- The position will provide staff support including serving as backup for other staff positions in their absence.
