The Contract Compliance Specialist plays a vital role in ensuring third party vendor adherence to landscaping contracts by monitoring compliance reports, assisting with on-site inspections, conducting final project walkthroughs, and coordinating with internal and external stakeholders to name a few. Minimum Qualifications: - Bachelor's degree in public administration, business administration, finance or a related field
- No experience required
- Valid Driver's license.
Preferred Qualifications: - Navigation skills and knowledge in map reading, Google Earth, GIS, Google Maps, and GPS.
- Experience in contract development and contract management.
- Experience in Motorola PremierOne CSR or similar workorder management software.
- Experience in developing and maintaining spreadsheets analyzing data and preparing reports.
- 1 year of compliance experience in related field.
- Ability to work with internal and external customers/vendors to meet project-specific goals.
The Contract Compliance Specialist job responsibilities include: - Prepare, administer, monitor, and manage contracts; approve contract payments; and ensure services and expenditures comply with contract specifications.
- Communicate contract regulations and policies to vendors, contractors, and citizens.
- Develop and update contract specifications for goods and services needed by the division
- Assist in drafting documents for the bidding process.
- Coordinate with internal and external stakeholders to resolve landscaping concerns throughout the city.
- Assist the team with on-site inspections and compliance reviews in public spaces.
- Organize and facilitate vendor meetings and walkthroughs to address and resolve compliance concerns.
- Utilize a work order management database to assign contractor tasks, track metrics, and generate reports.
- Create and maintain mowing maps for contractors and staff using tools such as Google Earth and ArcGIS.
- Prepare, route, and track all contract documents through Legal, Department Heads, Vendors, and the City Manager's Office for approval and signatures.
- Assist in the creation of Mayor & Council (M&C) and/or Informal Report documents for Council approval as needed.
- Initiate contract renewals within 90 days of expiration to ensure continuity of service.
- Adheres to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensures all behaviors comply with the City's Personnel Rules and Regulations
WORKING CONDITIONS & PHYSICAL DEMANDS Depending on assignment, positions in this class typically require touching, talking, hearing, seeing, grasping, standing, stooping, kneeling, crouching, reaching, walking and repetitive motions.
Light Work - Depending on assignment, positions in this class typically exert up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and/or a negligible amount of force constantly having to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for the Sedentary Work category and the worker sits most of the time, the job is rated Light Work
