Administrative Services Assistant III .
DoIT is made up of four main divisions - Technology Management, Communications & Information Security, Enterprise Systems, and Administration - and each plays an important role in supporting County operations. The Administrative Services Assistant III classification is used in various departments throughout the County. All qualified applicants are encouraged to apply.

- Comfortable navigating and learning financial and administrative software systems
- Skilled at organizing information, tracking multiple deadlines, and following complex processes
- Strong in communication-able to work effectively with vendors, internal staff, and leadership
- Adaptable and able to shift between priorities as department needs change
- Proactive about improving efficiency and documenting processes
- Reliable and able to maintain confidentiality and accuracy in sensitive administrative work
What you typically will be responsible for:- Coordinating contract workflows from early drafting through approval, renewal, and payment
- Monitoring contract performance and deadlines to ensure timely actions and accurate documentation
- Assisting with budget development, including gathering data, preparing drafts, and updating tracking tools
- Reviewing and reconciling expenditures to ensure accuracy and proper coding
- Supporting procurement activities, such as preparing requisitions, confirming quotes, and tracking status
- Submitting items through systems such as Legistar for Board of Supervisors review and approval
- Maintaining organized records of financial and contract materials to support audits and reporting
- Providing occasional backup support for personnel-related tasks such as recruitment or badge management

The eligible list established from this recruitment may remain in effect for six (6) months and may be used to fill other vacant positions including Administrative Analyst,
and Administrative Services Assistant II.
Minimum QualificationsLicense Required: Possession of a valid California Motor Vehicle Operator's License. Out of state valid motor vehicle operator's license will be accepted during the application process.
Education: Possession of a Bachelor’s degree from an accredited college or university with a major in business administration, public administration or a closely related field.
Experience: Three (3) years of full-time experience or its equivalent in an administrative staff position performing administrative, budgetary or personnel analysis.
Substitution for Education: Successful completion of at least 60 semester or 90 quarter units from an accredited college or university which included at least one three semester unit course in each of the following areas: (1) English Composition (2) Business or public administration, political science or government (3) Mathematics or Statistics and (4) Psychology or behavioral science; and two years full time experience or its equivalent in an administrative or staff capacity performing administrative, personnel or budgetary analysis which included the research, analysis and preparation of written reports; or an acceptable combination of qualifying experience beyond the two-year minimum education requirement may be substituted for the Bachelor’s degree.
Substitution for Academic Major and Experience: 1) One (1) additional year of qualifying experience may be substituted for the required academic required major; 2) Possession of a Master’s degree in public administration, business administration, or a closely related field may be substituted for the academic major or six months of the required experience.
Selection ProcessApplication Filing and Evaluation: Applicants must complete a supplemental questionnaire at the time of application. All materials will be reviewed to determine whether candidates meet the minimum qualifications. Only those who meet the minimum qualifications will move forward in the selection process.
Online Multiple-Choice Examination: Qualified candidates will be invited to complete an online multiple-choice assessment designed to measure key competencies required for the Administrative Services Assistant III position, including: Attention to Detail and Professional & Technical Expertise. The assessment will be conducted remotely. Candidates must have access to a computer with a reliable internet connection. Taking the assessment on a mobile device is not recommended. Tentatively Scheduled for December 15-21, 2025 -
(Weighted 100%) Final Selection Interviews: These will be scheduled by the department once the eligible list is established.
Assessment Retake Policy:- Candidates who take this assessment and later apply for another Contra Costa County recruitment that uses the same exam, will not be permitted to retake the test if the subsequent exam is scheduled within six (6) months of the original test date.
- If more than six (6) months has passed since the date of the original assessment, candidates will be required to retake the exam.
Meeting the minimum qualifications does not guarantee an invitation to participate in the selection process.
