Major Duties Under general supervision, the Administrative Support Coordinator supports critical departmental functions through precise financial coordination, detailed class scheduling, faculty personnel processing, student assistant support, and recruitment logistics. The incumbent ensures accuracy, consistency, and reliable administrative flow across academic operations and departmental services.
- Responsible for tracking and reconciling department budget, including the department operational budget, Instructionally Related Activities Fee/Fund (IRA), Campus Quality Fee/Fund (CQF), Lottery, and Auxiliary funds [The University Corporation (TUC) and Foundation].
- Enters the schedule of classes each semester, coordinates efficient use of rooms, and handles faculty requests.
- Maintains records for lecturer entitlements (working with Faculty Affairs) and Personnel Action File (PAFs)
- Coordinates the onboarding of student assistants as assigned and approved by the Department Chair.
- Coordinates the advertisement for the Part-time Lecturer hiring pool as assigned, paying special attention to deadlines.
- Performs other duties as assigned.

Qualifications - Equivalent to five (5) years of full-time, general office clerical work that has provided the applicant with the knowledge and abilities listed.
- Equivalent to full-time college or university education/vocational school training in a business or job-related field may be substituted for up to two (2) years of the required experience on a year-for-year basis.
Knowledge, Skills, & Abilities - Demonstrated ability to track, reconcile, and monitor budgets across multiple funding sources with precision. Skilled in preparing financial reports, processing state-side and auxiliary transactions, completing Special Pay requests, reviewing travel documentation for compliance, and ensuring timely submission of financial forms.
- Proficiency in managing a high volume of administrative and financial workflows, including requisitions, chargebacks, travel processes, and vendor communications. Able to navigate digital routing systems such as Adobe Sign, maintain audit-ready documentation, and function effectively as a backup in procurement and travel operations while following established university policies.
- Ability to accurately enter and maintain the semester schedule of classes while coordinating room assignments and faculty needs. Skilled in completing Academic Planning Database (APDB) submissions, tracking reassign time, and posting required academic materials with consistency and adherence to deadlines.
- Strong capability in processing lecturer and faculty appointments within PeopleSoft, ensuring accuracy in appointment letters, Personnel Action Request (PAR) submissions, entitlement documentation, and part-time faculty entries. Adept at maintaining confidential personnel files and applying university regulations related to faculty data and workload reporting.

- The anticipated HIRING RANGE: $4367 - $4727 per month, dependent upon qualifications and experience. The salary range for this classification is: $4367 - $6362 per month.
- HOURS: Full Time; 40 hours per week; Monday through Friday. May include evenings and weekends.
- This is a Regular position with a one-year probationary period.
- The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on student and/or operational needs.
