GENERAL DESCRIPTION : Under the direction of the Infrastructure Division's Contracting Branch Manager, this internship offers students an opportunity to gain practical experience in public sector procurement and contract administration for construction and professional services. The successful candidate will assist with tasks that support procurement development, contract compliance and project closeout while learning the fundamentals of state contracting processes and systems. This position will provide exposure to procurement systems, financial reporting requirements and records management practices. Interns will have opportunities to participate in special projects such as developing contract dashboards, auditing files for completeness and creating process improvement tools. The internship is designed to offer meaningful, hands-on experience in a collaborative environment preparing students for future careers in contract administration or public procurement. While this position will report directly to the Contracting Branch Manager, the intern will be mentored on a daily basis by Contracts Managers that are certified public procurement professionals. Ensures compliance with State and Federal laws and regulations. NOTE: As students, paid work experience reflected on your application may be limited. ESSENTIAL JOB DUTIES : % of Time Essential Job Duties by Category 30% Enter and validate contract data into procurement and financial systems. Upload and organize contract documents ensuring compliance with agency standards. Assist with historical data cleanup. 30% Review attachments and documents in various systems to ensure compliance with reporting requirements. Review contract/purchasing checklists for accuracy and completeness. Audit files to ensure completion of tasks. Assist with project and contract closeout ensuring all tasks are completed. Coordinate with records management for archiving. 25% Generate reports on active projects and contract usage. Develop reports for managing and tracking contracts and purchases. Assist with vendor performance analysis and reporting. 10% Review and track current inventory of supplies and commodities. Participate in special projects such as creating dashboards, process improvement tools and training materials. 5%
Marginal Job Duties:

Qualifications: MINIMUM QUALIFICATIONS Education :
Current enrollment as an undergraduate or graduate student in an accredited college or university or recent graduate with a bachelor's degree or higher within the last 6 months.
Minimum of 18 completed semester credit hours from an accredited college or university at time of application.
Must have an overall grade point average (GPA) of 2.5 or higher on a 4.0 grade point scale or "Pass" on a Pass/Fail system.
Experience :
None required.
Licensure :
Must possess a valid state driver's license.
PREFERRED QUALIFICATIONS Education :
Currently in pursuit of a degree relevant to the position. Examples are majors in Business Administration, Public Administration, Supply Chain Management, or related fields.
Experience :
At least 180 days of experience with data entry and/or document management systems.
KNOWLEDGE, SKILLS, AND ABILITIES Knowledge of office practices or administrative procedures.
Knowledge of basic procurement and contracting principles.
Knowledge of records management and compliance requirements.
Skill in use of standard office equipment and software.
Skill in using Microsoft Office Suite, Microsoft Teams and Adobe products.

Skill in creating reports and dashboards for tracking purposes.

WORKING CONDITIONS Internship duration and work week schedule to be mutually determined by supervisor and intern.
Required to work overtime as necessary.
Required to work 40 hours per week, from 8:00 a.m. to 5:00 p.m., Monday through Friday.
May required to travel 5% of the time with possible overnight stays.
Required to perform manual labor, including lifting supplies and materials up to 15 lbs.
