Position DescriptionSupports the program director by performing administrative duties related to planning, directing and coordinating both the academic and operational activities of the program.
Major/Essential FunctionsWorks independently performing a wide range of administrative and clerical duties. Supports the CPAN-PeriPAN program and assists the Program Manager and Sr. Program Director with planning and coordinating operational activities and events. Anticipates and resolves problems; routinely updates supervisor on status of projects. Provides administrative assistance by monitoring administrative projects and maintaining accurate records.
- Help with data validation among multiple internal CPAN-PeriPAN trackers, verifying information between multiple spreadsheets and systems to ensure that correct information is contained and updated among all systems, correcting any redundant or incorrect information.
- Coordinate with all team members to ensure tracking is appropriately completed/documented for the following: team/CAP/RP outreach calls, and that any updated outreach information is appropriately logged in trackers and is readily available.
- Manage inventory and flow of materials coming in and going out for events and outreach, ensuring that all materials are gathered prior to events and accounted for following events, ensure that program staff are aware of where materials are held.
- Assist in coordinating presentations and event planning aspects for conferences and resource booths (ensure that all needed materials, roadshow kits, etc. are prepared for the number of expected attendees, coordinate with conference/event leaders for conference specifics).
- Be responsible for items being mailed out to stakeholders, sending email and fax blasts and surveys.
Required QualificationsHigh school plus six years experience in related field. Additional education may substitute for experience on a year for year basis.
