Description
Job Summary About the Position: Mohave County is seeking a highly professional, detail-oriented individual to serve as Deputy Clerk of the Board of Supervisors. The position works under the direction of the Clerk of the Board and is a highly sensitive and confidential position . Regular contact with associate personnel, Elected Officials, appointed Department Directors, private and public businesses, the general public and news media personnel to promote programs, provide explanations, coordinate activities, gather required information, respond to inquiries, and resolve complaints in accordance with department policy and Arizona Revised Statutes.
The ideal candidate is an effective communicator who is comfortable engaging with diverse audiences and can convey complex information clearly and tactfully. This role may include public speaking and requires a strong commitment to customer service, professionalism, and responsiveness.
Work is performed primarily in an office environment, with occasional assignments in public settings. Travel may be required for meetings, conferences, and training throughout Mohave County.

Essential Job Functions- Assists in the preparation of BOS meeting agendas and agenda packets.
- Processes agenda items including publication, indexing, scanning and referring items to departments as needed.
- Transcribes minutes of BOS meetings from recorded dictation, submits draft of minutes to Board of Supervisors and upon approval publishes the minutes on the website.
- Prepare and post agendas, clerk meetings, prepare and post action agendas and prepare and post minutes for Boards and Commissions as directed by Arizona Revised Statues as needed and/or assigned by the Clerk of the Board.
- Processes Liquor License applications including Regular Licenses, Patio Permits and Special Events.
- Assists the Clerk in the administration process of the Tax Deed Sale and Board of Equalization as needed.
- Accepts service of lawsuits, “Notice of Claim” and Subpoenas on behalf of Mohave County in the absence of the Clerk of the Board and logs and routes said service as directed by the Clerk of the Board.
- Draft Resolutions and Proclamationsas directed or assigned by the Clerk of the Board.
- Prepare and process confidential and/or sensitive documents maintaining professionalism and confidentiality.
- Composes correspondence and reports for official signature as directed or assigned by the Clerk of the Board.
- Create, distribute, preserve, and/or retrieve complex records including official actions of the Board of Supervisors.
- Distribute forms as directed by Arizona Revised Statutes to all elected officials as assigned by the Clerk of the Board.
- Process requisitions, invoices, budget estimates, inventories, contracts, and other documents relating to department or office activities as assigned by the Clerk of the Board.
- Provides assistance to the Board of Supervisors and their staff, as needed and/or assigned by the Clerk of the Board.
- Researches and prepares memos, reports, data, and other informational materials as assigned.
- As assigned, supervises and trains other clerical personnel and administers routine office matters.
- Maintains activity, meeting, and reservation log of the Board of Supervisors Auditorium and conference room.
- Provides excellent customer service to the public and other departments as needed.
- Coordinates and assists in the development and implementation of special projects as required or assigned by the Clerk of the Board.
SECONDARY JOB FUNCTIONS - Performs related work as required.
- Performs special assignments as requested.
- Exercise regular and predictable attendance and punctuality in accordance with Mohave County Personnel Policies and Procedures.
Minimum Qualifications- High School Diploma/GED
- Three (3) years progressively responsible experience in administrative/office management and records management work of a discretionary and confidential nature (County or Municipal government preferred).
- OR an equivalent combination of education, experience, and training which provides the required knowledge, skills and abilities may be considered in meeting the minimum qualifications.
SPECIAL JOB REQUIREMENT - Must possess a valid driver’s license for operation of motor vehicles on Arizona roads at the start of employment and maintain said license while employed in this position.
- Provide acceptable driving history at no cost to the County.
- Ability to become a Notary Public.
- Certified proficiency to type a minimum of 60 words per minute (wpm).

- Business English, spelling, vocabulary, punctuation, and arithmetic.
- Modern office machines and equipment.
- General government functions, operations, routines and procedures of the Clerk of the Board’s Office, County Supervisor’s Offices and other County Departments.
- Principles and standards for minute preparation and file and records management as directed by Arizona Revised Statutes.
- Statutory requirements for records retention, preservation and recording.
- Open Meeting Law and Notice requirements as directed by Arizona Revised Statutes.
- The operation of general office equipment such as computers, copiers, fax machines, and calculators.
- Utilizing computer programs for word processing, records management, information storage and retrieval.
- Prepare and publish accurate minutes of Board of Supervisors meetings and work sessions in accordance with Arizona Revised Statutes.
- Identify and resolve operational and procedural problems and make decisions in accordance with office policy and/or as directed by Arizona Revised Statutes.
- Analyze incoming correspondence and take appropriate action including research and composition of materials for reply and/or referral to additional or pertinent sources of information.
- Tactfully and courteously interview and screen visitors/callers, handle complaints and other public and department contacts.
- Summarize notes and prepare reports and data for informational or study purposes as needed.
- Read, interpret, and apply technical materials encountered as a result of work assignments.
- Supervise and communicate effectively with subordinates as assigned.
- Type and take dictation or transcribe accurately and at a speed necessary to fulfill job responsibilities.
- Communicate clearly and concisely, both orally and in writing.
- Follow effective office and records retention/retrieval procedures and standards and maintain accurate and up-to-date records and documentation.
- Establish and maintain effective, cooperative working relationships with County Manager, Board of Supervisors members, Elected and Appointed Officials, county employees, other agencies, the general public, and others contacted in the course of work.
